Integrative Emergency Services, LLC (“IES”) is looking for a Marketing and Events Specialist. This role is responsible for the planning, coordination, and execution of marketing events that support the strategic priorities of Integrative Emergency Services (IES). This role leads end-to-end event management across corporate meetings, leadership programs, conferences, strategically hosted events, and partner-facing events. This position requires strong project management, attention to detail, and the ability to operate with a high level of ownership. The role collaborates cross-functionally to deliver events that enhance engagement, strengthen relationships, and elevate the IES brand and experience for clinicians and partners. Although subject to travel, role will be primarily hybrid based at the Corporate office in North Dallas, 75244.

ESSENTIAL DUTIES AND RESPONSIBILITIES The responsibilities listed here represent the majority of the role but are not all-inclusive; other duties may be assigned.

  • Independently plan, prioritize, and execute corporate and clinical events, including but not limited to, leadership retreats, Quality Summit, conferences, and internal programs.
  • Develop, manage, and continuously refine event plans, timelines, and run-of-show documents, ensuring delivery on time, within scope, and within budget.
  • Oversee end-to-end event logistics, including venue coordination, room setup, audiovisual (AV), catering, travel, event staffing, giveaways/promotional items, and on-site execution.
  • Ensure all events are delivered on time, within scope, and within budget, maintaining quality and execution standards.
  • Own event budgets, including tracking, forecasting, and cost management.
  • Evaluate event effectiveness by gathering, synthesizing, and interpreting feedback and metrics to support continuous improvement.
  • Lead on-site execution and serve as the central point of coordination, addressing issues in real time.
  • Evaluate event effectiveness and provide post-event reporting, insights, and recommendations for improvement.
  • Serve as the central point of coordination and real-time decision-making during events, maintaining a high standard of professionalism and responsiveness while coordinating staffing and vendors.
  • Serve as the primary point of contact for vendors and partners, managing relationships and supporting contract coordination.
  • Negotiate contracts and manage vendor relationships to ensure quality service delivery and cost efficiency.
  • Partner cross-functionally with internal stakeholders and Marketing & Communications team to align event objectives, messaging, and deliverables.
  • Coordinate requirements, materials, and logistics across teams to ensure event readiness.
  • Anticipate needs, identify risks, and drive follow-through to support successful execution.
  • Provide input on event approach, experience, and delivery to enhance effectiveness.
  • Support event-related communications, including promotions, invitations, registration, and follow-up.
  • Ensure all materials align with brand standards and support development of presentations, collateral, and communications as needed.
  • Assist in capturing and extending event content through storytelling and integrated communications.
  • Support broader Marketing & Communications initiatives and content execution as needed.
  • Identify opportunities to extend the reach and impact of events through integrated communications and content strategies.

  • Strong ability to assess, streamline, and improve event processes, identifying efficient approaches even when they differ from established practices.
  • Strong ownership, with the ability to independently prioritize, follow through, and drive tasks to completion.
  • Customer service orientation with a collaborative approach.
  • Ability to build and maintain effective working relationships across leadership, teams, and external partners.
  • Ability to use discretion appropriately and maintain confidentiality.
  • High levels of proficiency with MS Office applications and Office 365.
  • Ability to read, write, and speak English proficiently

Education / Experience:  Include minimum education, technical training, and/or experience preferred to perform the job.

Required:

  • Bachelor’s degree in Marketing, Communications, Event Management, Business, or related field OR equivalent combination of education and experience
  • Minimum 3 years of experience in event planning, marketing events, or program management.
  • Demonstrated experience managing complex events involving multiple stakeholders.
  • Prior experience managing vendors, contracts, and event budgets.
  • Ability to travel to support events, including occasional local and overnight travel

Preferred:

  • Prior healthcare experience

  • Possess the ability to fulfill any office activities normally expected in an office setting, to include, but not limited to remaining seated for periods of time to perform computer-based work, participating in filing activity, lifting and carrying office supplies (paper reams, mail, etc.)
  • Occasionally lift and/or move up to 20-25 pounds 
  • Fine hand manipulation (keyboarding)

  • This position operates in a professional office setting where the noise level is typically low to moderate but may vary based on work setting and business needs.
  • This position follows a hybrid work model primarily at 4835 LBJ FWY, Dallas, TX, 75056
  • Onsite presence will be required as business needs dictate.
  • Standard business hours apply, with flexibility as needed to accommodate early mornings, evenings or occasional weekend projects, meetings, and events.
  • May visit hospital locations, vendors, and marketing event spaces

TRAVEL

  • Required travel in support of marketing events to hospital locations, vendors, conferences and/or event locations. Travel, including overnight and local, may be required as business needs dictate.
